For small engineering firms and independent consultants
CRM for consulting engineers: the fee proposal still waiting
You are on site in the morning and calculating in the afternoon, and meanwhile clients and architects write about new assignments. A fee proposal can sit for weeks before anyone answers. Frida reads your Outlook, puts each assignment on a board and writes the replies so they are ready when you have two minutes. You approve every reply before it is sent.
Every enquiry and every fee proposal becomes a deal on the board
The replies are written by the time you are back from site
Frida is not project management and tracks no hours
The assignments arrive while you are on the building site
A consulting engineer sells between two site visits. The request for a structural calculation, the question about the fee and the client's yes all arrive as mail while you are wearing a helmet with drawings under your arm. Back at the desk, it is the cases that have waited longest that get forgotten.
Frida reads the threads and puts each assignment on the board with client and stage.
A draft reply is ready when you open the app on your phone.
You edit and approve, and the reply goes out from your own Outlook.
Fee proposals that sit for weeks
A fee proposal to a client can sit for a long time. The client is waiting for a bank, a local plan or an architect, and nobody says no. Those are exactly the proposals that disappear in the inbox.
Frida shows on the court that the ball is with the client, and for how long. When it has been quiet for a while, Frida writes a draft of a friendly follow-up from the thread. You decide whether it is time, and you approve it.
A client who goes quiet is not read as a no.
The follow-up stays a draft until you have read it.
From first enquiry to a signed fee agreement
This is how Frida follows one assignment from the first mail until the agreement is in place.
1
An architect writes to ask whether you can do the structural work for a roof terrace. Frida puts it forward as a suggested new deal, and one tap creates it.
2
After the site inspection you send the fee proposal from Outlook, and Frida asks whether the deal should move to Negotiation.
3
The client is waiting for the bank, and several weeks go by. On the court the ball now lies with the client, and Frida has a follow-up ready.
4
You approve the follow-up from your phone between two site visits, and the client answers the same week.
5
The fee is accepted. Frida suggests Agreement as the next stage, and you tap yes.
Who Frida fits among consulting engineers
Frida is for the small consultancy that wins its own assignments and carries them out itself. It keeps track of the sale, not of the project.
Frida fits
Independent engineers and small consultancies in structures, building services or building technology.
You, if you send fee proposals to private clients, architects and contractors.
You, if your client conversations are in Outlook and Microsoft 365.
Choose something else if
You need project management, schedules and time tracking in the same system.
Your assignments come through tender portals rather than through mail.
You are a large consultancy with a sales department and your own proposal systems.
Comparison
Frida or a spreadsheet of fee proposals
Many small consultancies keep a sheet with client, assignment, fee and status. It works as long as the sheet is updated after every site visit.

Two deals that are kept apart.
One line, or two if someone remembers.
Before the meeting with the client
The whole thread about the assignment is gathered on the deal.
Questions people ask about CRM for consulting engineers
Does Frida replace our project management or time tracking?
No. Frida follows the sale: the enquiry, the fee proposal and the conversation that leads to an agreement. Schedules, hours and invoicing stay in the systems you use today. Once the assignment is won, that is where the project carries on.
Can I approve the replies from my phone while I am on site?
Yes. In the Frida app on your phone you see the drafts that are ready, read them and approve them with one tap. You can also edit the text first. The reply goes out from your own Outlook, so the client sees it as an ordinary mail from you.
Can Frida use our fee rates when it writes a reply?
Yes, if you give them to it. With Personal and Pro you add your price list, website and services as sources, and the drafts take the rates from there. Frida does not calculate a fee for you. You read every draft and correct amounts and reservations before you approve it.
What if a client has several assignments with me at the same time?
Then each assignment becomes its own deal under the same client, for example the structural work for the roof terrace and a later inspection. Frida keeps the threads apart, and if a mail could belong to both, you get a short question about which one it belongs to.
When does Frida suggest following up on a fee proposal?
When the proposal has been with the client for a while without an answer, Frida writes a draft follow-up from the thread. It is not sent until you have approved it. If the timing is wrong because the client has said they are waiting for a bank, you postpone it.
Where is my data, and does Frida read my colleagues' mail?
Frida only reads the Outlook mailbox you connect yourself, never your colleagues'. Hosting and storage of your data stay in the EU, and the AI that reads the mail runs at a disclosed sub-processor in the USA. Your mails train no AI models.

Frida finds the sales opportunities in your Outlook conversations, keeps them up to date and prepares the follow-up. You type nothing in, and nothing is sent before you have read it.
